AFTERSCHOOL PROGRAM (ASP) POLICIES

AFTERSCHOOL PROGRAM (ASP) GUARANTEE
Our guarantee is simple: If your child attends the first session of the course and it does not meet his/her expectations, you can receive a full refund.

ASP REFUNDS
* Refunds are not available after the second class.

* Refund requests made prior to the start of the program will be charged a $10 processing fee.

ASP LOCATIONS
* All Mad Science classes are held on-site at various school locations in the Portland/Vancouver metro area.

* If you don't find your child's school in our list of locations, please contact us to find out how to bring Mad Science to your school.

ASP REGISTRATION
* Registrations are taken on a first-come, first-served basis.
* On-line registration, with a Visa, Discover or Mastercard, is recommended.
* Payment by check must be mailed with your registration form to the address listed on the registration form.
* Registrations must be received at the address noted on the registration form. The address may be Mad Science directly or a community program and occasionally the school. Generally schools do not participate in the registrations process.
* DO NOT RETURN REGISTRATIONS TO THE SCHOOL unless the form instructs you to do so. Registrations received at the school when the address indicates another location, will be returned to the parent by the school and are not the responsibility of Mad Science.
* Registrations received on or after the start date of the program will be subject to a $5 late registration fee.

ASP CONFIRMATION
* There will be NO confirmation of registration.  

* You will be contacted only if the class is full and your child does NOT get in.
* Customers who utilize our online registration system will receive an emailed receipt.

ASP FIRST DAY OF MAD SCIENCE CLASS
* Mad Science sends a roster of all participating students to the school. We ask the school to distribute that list to teachers so that teachers can direct students to the correct room.
* Our Mad Scientist will be in the Mad Science classroom to greet students when they arrive. They are unable to collect students from their classrooms.

ASP CLASS SIZE
* Classes must meet minimum enrollment to run.
* Class size ranges from a minimum of 12 children to a maximum of 20 children.
* When possible, we separate children by age groups.

ASP BEHAVIOR GUIDELINES & EXPECTATIONS
* Mad Science strives at all times to provide fun science activities to all children. In an effort to fulfill this commitment we ask that all children enrolled adhere to basic behavioral guidelines. We realize that the hands-on high-energy nature of our program excites and motivates children. Our programs are specifically designed to harness and direct that energy. Our instructors set clear boundaries and expectations as to appropriate conduct and we will hold all students to these expectations. If a child becomes disrespectful of others we will notify you immediately and ask for your help.
* Mad Science has a zero-tolerance policy regarding violence of any kind. Children exhibiting violent behavior will be asked not to return to Mad Science class. There will be no refund.

ASP PARTICIPANT PHOTOS
On occasion, Mad Science Staff may take photos of participants in our programs, classes and events. Please be aware that these photos are for Mad Science use only and may be used in promotional materials. If you have any concerns regarding this, please notify your instructor at the beginning of your program, class or event.

ASP CHILD PICK-UP POLICY

GENERAL PICK-UP REQUIREMENTS
If you have designated that you will be picking up your child:
* Pick up your child promptly at the end of class. Mad Science is not responsible for children before or after the stated class time.
* Meet your child at the classroom door. See below if you want your child to meet you in front of the school.
* We will only release your child to you, your spouse or to whomever else you have specifically designated on your registration form.
* The EXCEPTION to classroom pickup is at schools that have a designated pickup location. In those schools we will bring all children to the designated pickup location.
* If someone else will pickup up your child, you must send a signed note. This includes siblings, friends or neighbors.
* If someone else will regularly pick-up your child, please let your Mad Scientist know.

ASP FRONT OF SCHOOL PICKUP
If you want your child to meet you beyond the classroom or outside the school you must authorize him/her to walk home. This authorization allows us to release your child from the classroom without an accompanying adult.

ASP WALK OR AFTER-SCHOOL DAYCARE
* Children who walk home will be released, in a group as soon as class is over.
* Children who go to after-school day care will be released, in a group, as soon as class is over.

ASP LATE PICK UP
Late pick up charges begin 5 minutes after the end of class.
The late pick up charge is $1.00 per minute and must be paid to the MAD SCIENCE OFFICE prior to the start of the next class in order for your child to return.

ONE-TIME PROGRAM/WORKSHOP (Workshop) POLICIES
Occasionally Mad Science will host workshops in the Portland/Vancouver metropolitan area. The policies listed below only apply to workshops where registration is completed through the Mad Science Online Registration System (http://register.madscience.org).

 

WORKSHOP GUARANTEE

If for some reason our workshop does not meet your child’s expectations, please let us know and we will do what it takes to make it right!

WORKSHOP REFUNDS
Refund requests made at least 3 business days prior to the start of the program will be charged a $5 processing fee.

WORKSHOP MINIMUM ENROLLMENT
All One-Time Program/Workshops are subject to a minimum enrollment requirement. Classes that do not meet minimum enrollment will be cancelled no later than 3 business days prior to the program date. You will be notified by phone should this happen and refunded in full.

WORKSHOP: BE ON TIME
Our programs are full of fun, hands-on science. Please be sure your child arrives on time and if appropriate is picked up promptly at the conclusion of our program. Parents who are late to pick up students from programs requiring pickup will be assessed a late pick up fee of $1.00 per minute.

WINTER BREAK CAMP/SPRING BREAK/SUMMER CAMP/OTHER WEEK-LONG DAY CAMP PROGRAM POLICIES

CAMP CANCELLATION POLICY
Cancellations received at least two-weeks prior to the camp start date will be refunded less a $25 processing fee. Cancellation requests received less than 14 days prior to camp start date will not be refunded.

CAMP CONFIRMATIONS
Mad Science will send out email confirmations of summer camp approximately two weeks prior to the camp start date to those families that provide an email address. Customers not providing an email address will not receive a confirmation.

CAMP MINIMUM/MAXIMUM ENROLLMENT
Registrations are accepted on a first-come, first-served basis. Mad Science reserves the right to cancel any camp that does not meet the minimum enrollment of 10 campers. If your child’s camp is cancelled you will be offered a spot in an alternate camp or a full refund. Maximum enrollment in Mad Science summer camp is limited to 24 in a school age camp. Mad Science summer camp maintains a school age staff/camper ratio of 1:17. The Let's Get Growing camp for 4 to 5 year olds maintains a ratio of 1:10 with a maximum of 20 campers.

CAMP: WHAT TO BRING & WEAR?
We will provide all campers with a Mad Science water bottle. To avoid issues with food allergies, Mad Science will not provide any food to campers. It is always a good idea to inform Mad Science of any food allergies your child may have. Half Day campers should bring a snack and full day campers should bring a sack lunch and snacks. Have your child wear play clothes. There is always the possibility of stains when working with science! Send your child with shoes that will remain securely on their feet while running.

CAMP DROP-OFF & PICK-UP POLICIES
* Please make sure your child arrives on time. Our days are jammed full of exciting activities. We wouldn't want them to miss a thing!
* You or your designee are required to daily escort your child into the building and sign them into camp. 
* You must also pick up your child at the classroom door and sign them out of camp. 
* Do not drop your child off and leave him/her unattended before the start time of camp. Our instructor will not be responsible for children until the stated start time of the camp day.
*Please pick up your child on time! Our Mad Scientists have other responsibilities immediately following camp. Late pickup charges will begin 5 minutes after the end of camp. The late pickup charge is $1 per minute and must be paid to the Mad Science office prior to the start of the next day of camp in order for your child to continue.

MEDICAL RELEASE
By registering a child and submitting payment of the fees for the program, parents/guardians authorize camp directors and/or instructors to consent to any emergency medical, surgical or dental examination, treatments, etc. and release and discharge Mad Science of Portland and Vancouver & Vancouver from any and all claims for personal injuries.  In addition, Mad Science is insured for its own liability but does not provide Medical or Accident insurance for camp participants.
